Be specific! (Part 2)

What words are open to interpretation in this sentence: "Please send me your test results as soon as possible."?

Yes, the readers' definition of "as soon as possible" may not be the same as the writer's. Use this sentence instead: "Please send me the test results by Friday, October 4."

Precise wording makes sentences specific.

Let's see how else we can ensure that our sentences have only one possible meaning.

Use definitions, examples, and analogies (descriptions of something new in terms of something familiar).

As you review the following examples, note how definitions, examples, and analogies help ensure the reader's full understanding:

Use of a definition -- The Application Manager is the person responsible for developing, testing, and installing application software.

Use of examples -- Provide full information for expenses (e.g., dates, receipts, locations).

Use of an analogy -- The new software interacts with the existing programs, filling in information. It acts like water filtering in between ice cubes in a glass; it flows around existing information, filling in gaps.
