Clear, Direct Wording CHECKLIST
September 20, 2007

Use this CHECKLIST to ensure that your wording is concise and to the point.

  1. Eliminate wordiness.
    + All unnecessary words and introductory phrases have been deleted; wordy phrases have been tightened.
    + Consecutive sentences with common words or ideas have been combined.
  2. Place key words in power positions.
    +
    Key ideas are in subject positions; the main action of the sentence is expressed with a strong verb.
  3. Use active and passive voice appropriately.
    +
    Active voice is used to delineate responsibility and spotlight the doer.
    + Active voice is used in instructions.
    + Passive voice is used to emphasize completed action or to soften a harsh message.
  4. Be specific.
    + Wording is specific, precise, and factual; wording is unambiguous.
    + Definitions, examples, and analogies are used to aid reader understanding.
    + Any numbers used are tied to a baseline.
  5. Avoid jargon and pompous wording.
    + The wording is appropriate for the intended reader.
    + Jargon and abbreviations are used consistently and defined as necessary for primary and secondary audiences.
    + Acronyms and abbreviations are spelled out on first use.
    + Terminology is standard and consistent.
    + Familiar language is used to ensure understanding.
